Your enthusiasm, and organizational prowess will help create seamless experiences, from Pau Hanas to our signature Home Shows, annual Golf Tournament, corporate gatherings, and fundraisers. This paid position offers an exciting opportunity to showcase your skills in project management, hospitality, and customer service while making a tangible impact on memorable occasions for our 300+ valued members and associates.

Responsibilities

  • Work collaboratively with internal teams, external vendors, and leadership to ensure all event details are delivered accurately, on time, and within budget.
  • Develop comprehensive event plans covering logistics, catering, entertainment, decor, and venue arrangements.
  • Negotiate contracts with vendors including caterers, decorators, entertainment providers, and venue managers to secure the best terms.
  • Coordinate all event details such as venue setup, guest registration, catering services, and technical requirements to ensure smooth execution.
  • Manage event budgets meticulously, tracking expenses and seeking opportunities for upselling additional services or enhancements.
  • Prepare event materials such as agendas, signage, name badges, programs, and presentations.
  • Organize, stock, and track event decor and inventory
  • Oversee check‑in, welcome tables, and attendee flow at events.
  • Assist with event setup and breakdown, ensuring compliance with venue rules and safety requirements.
  • Serve as a point of contact for vendors, staff, volunteers, and attendees.
  • Provide exceptional guest services during events by addressing inquiries promptly and ensuring a welcoming atmosphere.
  • Conduct post-event evaluations to gather feedback for continuous improvement and build strong relationships with members and stakeholders for future collaborations.
Qualifications
  • Proven experience in event planning or management
  • Strong negotiation skills with the ability to secure favorable contracts and vendor agreements.
  • Demonstrated expertise in event planning, budgeting, and logistics coordination.
  • Exceptional customer service skills with a friendly yet professional demeanor that enhances guest experiences.
  • Outstanding time management and organizational skills to handle multiple events simultaneously while meeting deadlines.
  • Familiarity with banquet operations, catering arrangements, contracts management, and hospitality standards.
  • Strong organizational and time‑management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple events and deadlines simultaneously.
  • Comfortable coordinating vendors, schedules, and logistics.
  • Ability to lift up to 25 pounds (event materials).
  • Willingness to work evenings, weekends, or off‑site locations depending on event needs.
  • Valid driver’s license and reliable transportation 
Preferred Experience
  • 1–3 years in event planning, hospitality, or related work.
  • Experience with nonprofit or association events a plus.
  • Familiarity with registration systems, CRM tools, or project management platforms.
  • Proficiency with Microsoft Office; or Adobe Express
